This playbook has two integrated components:

(what to review monthly, quarterly, annually, and after major events)
A Month-by-Month Calendar
(when to focus on specific tax-smart investing tasks)
They are designed to be used together.
Scoring System
- 🟢 Green — Reviewed and addressed
- 🟡 Yellow — Aware but not acted
- 🔴 Red — Ignored, overlooked, or unknown
“Not applicable” is acceptable.
“Didn’t think about it” is not.
SECTION 1 — MONTHLY TAX-SMART INVESTING CHECKLIST
A. Market & Account Surveillance (10–15 minutes)
- Did any taxable holdings fall below cost basis this month?
- Are unrealized losses large enough to matter?
- Did volatility create harvesting opportunities?
- Did any holdings transition from short-term to long-term?
- Did dividends or capital gains post unexpectedly?
- Are automatic reinvestments creating wash sale risk?
- Did concentrated positions drift higher?
- Did cash balances grow unintentionally?
- Did any account drift from its intended role?
- Are there upcoming income or market events next month?
Scoring: 🟢 🟡 🔴
B. Monthly Tax Awareness
- Did taxable income spike unexpectedly?
- Did bonuses, RSUs, or deferred comp vest?
- Is investment income tracking above projections?
- Are capital gains being realized unintentionally?
- Were charitable gifts coordinated or random?
- Is state withholding aligned with income reality?
- Are estimated taxes still accurate?
- Are gains/losses being tracked in real time?
- Is Medicare IRMAA exposure increasing?
- Is this month increasing future tax friction?
Scoring: 🟢 🟡 🔴
SECTION 2 — QUARTERLY TAX-SMART INVESTING CHECKLIST
A. Tax-Loss Harvesting Discipline
- Have all taxable positions been reviewed for losses?
- Are losses harvested intentionally—not emotionally?
- Are replacement securities wash-sale compliant?
- Are harvested losses documented and tracked?
- Are losses being saved for higher-income years?
- Are losses offsetting gains strategically?
- Is harvesting coordinated with rebalancing?
- Are rebounds eliminating prior opportunities?
- Are losses improving after-tax outcomes?
- Am I harvesting losses while still realizing gains unnecessarily?
Scoring: 🟢 🟡 🔴
B. Rebalancing Without Tax Damage
- Has allocation drift exceeded tolerance?
- Can rebalancing occur inside tax-advantaged accounts?
- Are taxable sales truly necessary?
- Are new contributions used to rebalance?
- Are dividends redirected strategically?
- Is rebalancing increasing future tax exposure?
- Is risk increasing unintentionally?
- Are concentrated positions being reduced thoughtfully?
- Is rebalancing rule-based or emotional?
- Does the portfolio still match its intended function?
Scoring: 🟢 🟡 🔴
SECTION 3 — ACCOUNT LOCATION & ASSET PLACEMENT
A. Asset Location Review
- Are tax-inefficient assets sheltered?
- Are tax-efficient assets placed in taxable accounts?
- Are bonds placed intentionally—not by default?
- Are REITs and high-yield assets sheltered?
- Are growth assets protected from future taxation?
- Are high-turnover strategies isolated from taxable accounts?
- Is Roth space preserved intentionally?
- Are HSAs invested with long-term tax efficiency?
- Is asset location reviewed after major changes?
- Is asset location improving after-tax outcomes?
Scoring: 🟢 🟡 🔴
B. Account Role Clarity
- Does each account have a defined purpose?
- Are taxable accounts used for flexibility and liquidity?
- Are pre-tax accounts managed with future RMDs in mind?
- Are Roth accounts protected from unnecessary withdrawals?
- Are income-producing assets placed thoughtfully?
- Is cash positioned intentionally across accounts?
- Are accounts being duplicated unnecessarily?
- Are legacy-intended assets placed optimally?
- Are future withdrawals considered in placement decisions?
- Is account location reviewed annually—or ignored?
Scoring: 🟢 🟡 🔴
SECTION 4 — TAX COORDINATION & BRACKET CONTROL
- Do I know my current marginal tax bracket?
- Am I near a higher bracket threshold?
- Are capital gains stacking unintentionally?
- Is investment income triggering surtaxes?
- Are Roth conversions coordinated with market conditions?
- Are losses offsetting income optimally?
- Is income smoothing intentional?
- Am I creating avoidable state tax exposure?
- Is Medicare IRMAA monitored proactively?
- Are estimated taxes accurate?
Scoring: 🟢 🟡 🔴
SECTION 5 — ANNUAL TAX-SMART INVESTING CHECKLIST
Year-End Strategy
- Have all harvesting opportunities been evaluated?
- Have gains been realized intentionally?
- Are carryforward losses tracked correctly?
- Has rebalancing been completed tax-efficiently?
- Has asset location been reviewed?
- Are Roth conversions evaluated before year-end?
- Are charitable strategies optimized?
- Are required distributions planned—not rushed?
- Are tax documents reconciled with activity?
- Is next year’s strategy pre-planned?
Process Audit
- Did decisions reduce lifetime taxes?
- Were mistakes due to inattention or lack of structure?
- Did emotions override process?
- Were opportunities missed?
- Is the system improving year over year?
- Is documentation clean and accessible?
- Are assumptions still valid?
- Is coordination with tax professionals effective?
- Are future tax risks reduced?
- Is this system repeatable next year?

SECTION 6 — EVENT-DRIVEN CHECKLIST (RUN IMMEDIATELY)
